About the Role

The Executive Assistant to the CEO will be a critical member of the team, providing high-level administrative support to the Chief Executive Officer. This role requires impeccable organizational skills, discretion, and the ability to manage a wide range of tasks in a fast-paced environment. The ideal candidate will act as a trusted partner to the CEO, enabling them to focus on strategic initiatives by managing day-to-day operational responsibilities. This position is perfect for someone with experience or interest in aerospace and defense, venture capital, and start-up environments. The role may involve travel to industry conferences and events.

Responsibilities

• Administrative Support:
• Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
• Handle correspondence, including emails and phone calls, on behalf of the CEO.
• Meeting Preparation:
• Prepare agendas, presentations, and briefing materials for meetings.
• Record and distribute meeting minutes, ensuring follow-up on action items.
• Communication Liaison:
• Serve as the primary point of contact for internal and external stakeholders engaging with the CEO.
• Facilitate effective communication between the CEO and other departments.
• Project Coordination:
• Assist with special projects and initiatives, tracking progress and deadlines.
• Conduct research and compile reports to support decision-making.

• Industry Engagement:
• Arrange and coordinate the CEO’s participation in aerospace and defense industry conferences, venture capital meetings, and other key events.
• Accompany the CEO on business trips and provide on-the-ground support.
• Office Management:
• Ensure smooth day-to-day operations of the executive office.
• Handle confidential and sensitive information with utmost discretion.

Qualifications

• Bachelor’s degree in business administration, communications, or a related field.
• 5+ years of experience as an executive assistant or in a similar role supporting C-suite executives.
• Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
• Strong written and verbal communication skills.
• Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and scheduling tools.
• Discretion and confidentiality in handling sensitive information.
• Ability to thrive in a fast-paced, start-up environment.
• A proactive and adaptable mindset with a problem-solving approach.
• Experience or strong interest in aerospace and defense, venture capital, and start-up operations.
• Willingness to travel to industry conferences, business meetings, and events as needed.
